The primary role of a Client Service Associate is to provide operational and administrative support to multiple Financial Advisors and to provide exemplary client service. You’ll be working with our growing team in Thousand Oaks, CA.
Job Responsibilities include, but are not limited to:
- Deliver exceptional client service and provide operational and administrative support to the firm’s financial advisory team by serving as a point of contact for high-net-worth clients, addressing inquiries and requests.
- Facilitate various transactions and complete necessary paperwork on behalf of clients, including but not limited to initiating money movements, establishing new investment accounts, transferring accounts, closing accounts, and account maintenance
- Collaborate with the Firm’s third-party custodian service teams and various other entities to carry out client services
- Ensure accurate record-keeping and documentation of all client and vendor interactions using our customer relationship management (CRM) tool
- Help teach clients how to utilize our client-facing technology systems
- Scheduling and preparation of reports and other materials for client meetings
- Ongoing maintenance of client electronic files
- Assist with ad hoc projects, and help to maintain and improve firm processes and workflows to create efficiency
- Provide ongoing service in accordance with company and vendor policies, practices, and regulations
- Self-motivated with the ability to work independently and within a team environment
- Excellent analytical, decision-making, problem-solving, and time management skills
- Meticulous attention to detail
- Excellent interpersonal, communication, and writing skills with the ability to develop and maintain strong relationships with clients
- Ability to operate efficiently, prioritize a list of outstanding tasks to effectively handle urgent matters in a fast-paced environment with a high volume of activity
- Ability to multitask and move attention and effort back and forth between two or more activities when engaged in them at the same time, and remain flexible as priorities change
- Experience with all Microsoft Office programs (Word, Excel, and Outlook) and Adobe Acrobat
- Strong ability to quickly learn new technology and digital systems
- Familiarity with the paperwork and processes of Charles Schwab and Fidelity is preferred.
- Experience working in a Registered Investment Advisory firm or operations for a Securities Broker-Dealer is preferred
- This is a non-exempt, full-time position, Monday-Friday
